What is marketplace reconciliation?
Marketplace reconciliation is the process of comparing your order and sales records with marketplace charges, returns and settlement records. It answers which amounts match, which differ and what evidence is needed to explain the difference. A complete finance process also connects settlements to actual bank receipts.
Prepare the right sources
Start with the order or sales report, payout report, return records and commercial agreement for the relevant period. Preserve the original files and import identifiers as text so long order numbers do not lose precision. Record the reporting period and distinguish order dates from posting and settlement dates.
Match the transaction lifecycle
An order can have more than one line, shipment, settlement or return. Match at the level that the source reports actually support. Keep forward and reverse entries distinguishable, and avoid treating a legitimate return adjustment as a missing payment.
Calculate an expected amount
Use the contract and its applicable fee basis to derive expected components. A generic percentage is not enough when the fee depends on category, price slab, zone, quantity or transaction type. Treat missing mappings as incomplete calculations rather than automatically calling them recoverable.
Investigate differences in the right order
First check missing files, identifiers, periods and duplicates. Then review fee bases, contract versions and return signs. Classify the remaining differences by materiality and reason. Invoice-to-payout differences and contract-to-payout differences should retain their own evidence and basis.
Track resolution, not just exception counts
Assign a case owner, attach evidence and log communications. Keep claimed, accepted and recovered amounts separate. A case can be rejected or partially recovered; the original finding should remain traceable. Use a month-end roll-forward to explain new, resolved and still-open cases.
How MarketplaceMetrics fits
The inspected Myntra implementation connects Excel imports, calculation explanations, two reconciliation bases, discrepancy filters and a recovery workbench. During a demo, confirm your marketplace formats and ask to follow a single order through the complete process.
